Why Scheduling Your Tasks Keeps You on Track
Managing a to-do list can feel like chasing your tail. This week’s habit—adding tasks directly to my calendar—reinforced just how much structure helps when you’re juggling client work, admin, and your own business growth.
What Worked Well
Putting tasks directly on my calendar is the only way I get them done. Even if I don’t finish them on time, seeing them in front of me helps me track what’s overdue and what still needs attention. It keeps everything from slipping through the cracks.
Challenges: Staying on Top of Everything
Without deadlines, tasks float around aimlessly. But with so much going on, it’s hard to fit everything in. Seeing my calendar filled with tasks reminds me that I can’t do it all—and helps me set better expectations for myself.
A Surprising Benefit: Easy Access Anywhere
One unexpected perk? I love having my calendar and task list synced and available from any device. Whether I’m at my desk or away, I know exactly what needs to happen next.
Tools & Resources That Helped
- Google Tasks + Google Calendar – A solid combo that keeps tasks at the top of my calendar
- Tasksboard – A Trello-style view that syncs with Google Tasks: https://tasksboard.com
- Moxie – My new system, currently being set up. It lets me turn emails into tasks and manage everything in one spot: https://withmoxie.com
Lessons Learned
To stay focused, I need structure. Task deadlines—even soft ones—help me prioritize. This habit reminds me that organizing your work doesn’t have to be fancy. It just has to be consistent.
Moving Forward
I’m switching from Google Tasks to Moxie, but I plan to keep the habit of assigning dates to my tasks. As long as I can see what’s overdue and what’s ahead, I’m in control of my schedule.
How You Can Implement This Habit
Start by adding tasks to your calendar without time slots—this keeps them visible without blocking off your whole day. Do a quick review each week to reschedule anything you missed. Don’t worry about perfection. Just start getting things out of your head and onto your calendar. It’s a small shift that leads to big relief.
