As we continuously refine our business processes, we must periodically examine our billing practices. Efficient billing isn’t just about getting paid; it’s about aligning with your business’s flow and cash flow needs. This week, let’s get into the habit of reviewing how and when we bill our clients, ensuring our practices bolster our business’s efficiency and cash flow.

Habit of the week:

Wk46-Analyze Your Billing Practices

Take a moment to evaluate your current billing routines. Consider the frequency of your invoices, the method of billing for ongoing services, and the timeliness of your payments. Could batching smaller monthly invoices into quarterly ones improve efficiency? Are automated receipts for recurring services in place? Reflect on your project billing strategy—does requiring half down and half on completion best serve your cash flow? This was a big no for me after review.

Why it matters:

A thoughtful review of your billing practices can reveal opportunities to streamline operations, improve cash flow, and enhance client satisfaction. It's about finding the right balance that works for you and your clients, ensuring financial health for your business.

Quick Start Guide:

  • Evaluate Frequency and Size of Invoices: Assess if smaller invoices can be consolidated for efficiency.
  • Assess Payment Timeliness: Determine if your current billing structure encourages prompt payment.
  • Review Automated Processes: Check if automating certain billing aspects could save time and reduce errors.
  • Project Payment Structure: Analyze if your project billing strategy aligns with your cash flow needs.
  • Payment Methods: Decide if accepting checks is still necessary or if ACH could streamline processes.

Cami's Tips

  • Experiment with Payment Plans: Shifting to payment plans for projects significantly improved my cash flow after seeing how much time it was taking to receive the second half of a project fee.
  • Twice-Yearly Review: Dedicate time bi-annually to assess and adjust your billing practices as needed.
  • Client Feedback: Occasionally, solicit client feedback on the billing process to identify areas for improvement. Are you providing enough options?
  • Explore Payment Platforms: Evaluate the benefits of Stripe vs. PayPal, or consider using both to accommodate client preferences.

Routine Checkpoint:

Remember, the goal is to create a billing system that supports your business's financial health and aligns with client expectations.

After reviewing your billing practices, implement any changes you believe will enhance your business operations. Reviewing and adjusting these practices can lead to significant improvements in your operations and cash flow.
